Calf Passport Privacy Notice

Scope

This notice applies to Calf Passport services, including invitation-only pilots and beta releases. The features available to you may vary according to your organisation, permissions, device, and release version.

Information handled by Calf Passport

• Account and access informationYour name, email address, authenticated account identifier, and the organisations, Units, memberships, and roles used to give you authorised access.
• Farm operational informationLivestock EID tag reads, recording-session details, timestamps, the selected Unit and reader, session status, and related workflow records created while using the beta.
• Technical and diagnostic informationApp and build version, device model, operating-system version, reader transport and connection health, and scrubbed crash or performance diagnostics. If you explicitly submit wand diagnostics, the current reader connection state and transport are included.

Device permissions and sensors

Calf Passport may use Bluetooth and Apple ExternalAccessory access to communicate with authorised EID readers when that functionality is enabled. The current app does not request access to your camera, microphone, location, contacts, or photo library. Push-notification permission is not requested by the current app flow.

How we use information

We use this information to authenticate and authorise users, provide and protect the livestock-recording service, preserve operational integrity and audit history, provide support, diagnose faults, and improve reliability. We do not use it for advertising or cross-app tracking, and we do not sell personal information.

Service providers and data location

Four Birds Limited uses service providers only to operate and support Calf Passport. Supabase provides database and authentication services from Australia. Sentry may process narrowly scrubbed crash, performance, and user-submitted wand diagnostics in the European Union. Apple may provide TestFlight distribution for beta releases under Apple's own terms. These providers process information under their applicable service and privacy terms.

Diagnostic safeguards

Sentry session replay, screenshots, view-hierarchy capture, default personal-information collection, and HTTP request tracing are disabled. EID numbers and UUID-like identifiers are redacted from diagnostic text before delivery. Diagnostic records are retained for up to 90 days unless a shorter period is configured or longer retention is required to investigate a security or reliability incident.

Retention and security

We retain account and operational records for as long as reasonably needed for service delivery, security, audit, legal, or dispute-resolution purposes. Calf Passport uses access controls, encrypted network connections, and protected device storage appropriate to the service. Uninstalling the app stops further collection from that device but does not automatically delete authorised server records.

Your choices and rights

You may ask to access or correct your personal information, request deletion where applicable, or raise a privacy concern. Some operational records may need to be retained where deletion would conflict with legal, security, livestock-traceability, or audit obligations.
